Managed print services with XpertView

Managed print services

Take printer management off your team’s plate

Our print management program will:

  • Remotely monitor printers and MFPs so they stay up
  • Reduce the burden on internal IT
  • Proactively deliver cartridges, parts, and service
  • Streamline and right-size the printer and MFP fleet
  • Give you a clear view of print cost
  • Make day-to-day printing less of a hassle for staff

Printing is easy — until somebody has to manage it

A toner cartridge runs out. A shared printer starts throwing errors. Someone has to track down a supply, call for service, check a meter, or decide whether an aging device is still worth fixing. One Source Imaging can take much of that day-to-day work off your staff with remote fleet visibility, proactive supplies, local service, and practical equipment guidance.

The unmanaged print problem

Small printer problems create bigger business interruptions

The cost of printing is not just ink, toner, and hardware. It is also the staff time and disruption created when nobody has a clear view of the fleet.

One local partner for the day-to-day work

Instead of treating every printer as a separate purchase and every problem as a separate event, we can help manage the fleet as one operating environment.

  • Monitor page counts, supply levels, and device status
  • Proactively provide toner, parts, and service based on the program you choose
  • Track equipment and service history in one managed view
  • Use actual volume to identify overloaded, underused, or expensive devices
  • Give staff one local source for supplies, service, and equipment guidance

What XpertView keeps visible

  • Page counts
  • Supply levels
  • Device status and error codes
  • Service history
  • Fleet and asset information

A practical managed print process

  1. 1 Assess — We review your printers and MFPs, page volumes, supply habits, service issues, and the work each device needs to handle.
  2. 2 Right-size — We identify equipment that is a good fit, devices that may be overworked or underused, and opportunities to lower long-term cost.
  3. 3 Connect & automate — Compatible networked devices can be monitored so page counts, supply levels, and device conditions are easier to manage proactively.
  4. 4 Support & improve — One Source Imaging coordinates supplies, preventive maintenance, service, and future equipment decisions as your needs change.

Business value

What changes when print stops being a daily chore

Managed print should create practical improvements your staff can feel and your business can see.

You do not have to replace a good printer just to manage it better

Why One Source Imaging

Managed locally by people who already understand business printing

XpertView is most useful when the monitoring is backed by people who can actually deliver the toner, service the equipment, and help you make the next decision.

Managed print questions

What is XpertView?
XpertView is the monitoring and fleet-management layer One Source Imaging uses to help manage printers, copiers, and multifunction devices. It can report operating information such as page counts, supply levels, device status, and error conditions so we can support the fleet more proactively.
Do we have to replace our current printers?
No. A managed print plan can start with the equipment you already have. We would rather keep a reliable, economical device in service than replace it just for the sake of replacing it. Usage and service data help identify the machines that actually deserve attention.
Can toner be replenished automatically?
For compatible monitored devices, supply levels can be tracked so replenishment can be handled proactively as part of the program you choose. The goal is to reduce emergency orders without filling closets with unnecessary backup cartridges.
What information does remote monitoring use?
The managed-print information we use is device-operating data such as page counts, supply levels, status, service history, and error codes. That is the information needed to understand usage and keep the fleet running.
Can service, maintenance, and parts be included?
Yes. Depending on the equipment and the agreement, a managed print program can include toner, service, preventive maintenance, parts, asset management, and future hardware planning. We will spell out what is included before you commit.
How is managed print priced?
The structure depends on your fleet and the services included. For many organizations, the goal is a predictable cost-per-page approach that brings supplies and service into one understandable printing cost instead of a series of separate surprises.
Is managed print only for large companies?
No. It can make sense anywhere multiple printers or recurring supply and service tasks are consuming more staff time than they should. A print assessment can show whether the savings and convenience justify a managed program for your environment.
